Privacy Policy
Effective Date: 14 September 2026 · Last Updated: 14 September 2026
This policy is provided as a plain-language guide to how RunVia handles data and is not a substitute for independent legal advice. If your business has specific compliance requirements, please have your own counsel review it against your needs.
At RunVia ("we," "our," or "us"), we respect your privacy and are committed to protecting the personal and business data collected through our website (runvia.ng) and our operations management platform ("the Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website or use RunVia to manage payroll, expenses, procurement, production, fleet, diesel, and client records for your business.
By accessing our website or using the Service, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use.
1. Information We Collect
We collect information to provide, maintain, and improve RunVia for the businesses that rely on it.
- Account and business data: company name, business address, contact details, and billing information provided when you register a company on RunVia.
- Staff and payroll data: employee names, bank details, salary, statutory deduction settings (PAYE, pension, NHF), loan records, and payslip history entered by your business into the platform.
- Operational records: expenses, procurement requests, production logs, fleet and diesel entries, and client records that your team enters to run its day-to-day operations.
- User account data: names, work email addresses, and passwords (stored as salted hashes, never in plain text) for everyone your company invites onto its RunVia account.
- Website usage data: standard technical data such as IP address, browser type, device information, and pages visited, collected automatically when you browse runvia.ng.
2. How We Use Your Information
- Provide, operate, and maintain the RunVia platform for your company's account.
- Process subscription billing and manage your plan.
- Generate payroll calculations, payslips, and statutory deduction summaries on your behalf, using the figures your company enters.
- Communicate with you about service updates, technical alerts, customer support, and billing.
- Monitor platform performance and reliability, and improve features over time.
- Comply with legal obligations and enforce our Terms and Conditions.
3. How We Share Information
We do not sell, rent, or trade your business data or your employees'/clients' personal information to third parties. We may share data only in these limited circumstances:
- Service providers: trusted hosting, email delivery, and payment processing vendors who help us operate RunVia, bound by confidentiality obligations.
- Legal requirements: where required by law, court order, or governmental authority, or to protect the rights, property, or safety of RunVia, our customers, or others.
- Business transfers: in connection with a merger, acquisition, financing, or sale of company assets.
Within your own company's account, data is scoped to your company — one business cannot see another's records. Access within your account is controlled by the roles and permissions your own administrators assign to staff.
4. Data Security
We use administrative, technical, and physical safeguards — including encryption in transit (HTTPS/TLS), hashed passwords, and access-controlled hosting — to protect information against unauthorized access, loss, alteration, or disclosure. No electronic transmission or storage system is 100% secure, and we encourage strong, unique passwords for every RunVia account.
5. Data Retention
We retain personal and business data for as long as your company's account is active, and for a reasonable period afterward to meet legal, accounting, or dispute-resolution obligations (for example, payroll and statutory records commonly required to be kept for several years under Nigerian labor and tax rules). When data is no longer required, it is securely deleted or anonymized.
6. Your Data Protection Rights
Depending on your jurisdiction — including under the Nigeria Data Protection Act (NDPA) — you may have the right to:
- Access and request a copy of the personal data we hold about you.
- Request correction of inaccurate or incomplete data.
- Request deletion of your data, subject to our legal retention obligations.
- Object to or restrict certain processing of your data.
To exercise any of these rights, contact us at info@runvia.ng.
7. Children's Privacy
RunVia is a business tool and is not directed at, or intended for use by, children. We do not knowingly collect personal data from anyone under the age of 18.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page with an updated effective date. Continued use of RunVia after a change constitutes acceptance of the revised policy.
